A Way Home Washington (AWHWA), a fiscally sponsored project of TSNE MissionWorks, is mission-driven to prevent and end youth and young adult homelessness across Washington state. AWHWA partners with the state Office of Homeless Youth, philanthropic foundations, advocates, and service providers who support over 13,000 unaccompanied young people experiencing homelessness in Washington. AWHWA leads and coordinates these stakeholders as we work collectively to build a statewide system so that local communities can respond to youth and young adult homelessness in their areas.
The Administrative Coordinator is responsible for ensuring the seamless flow of administrative support for the AWHWA Executive Director, including complex scheduling and coordination of meetings and travel, as well as tracking and responding to assigned email correspondence. This position also includes project tracking and task management. The role engages with a diverse group of important external partners, as well as the entire internal AWHWA team.
- Ensure Executive Director’s calendar is up-to-date and accurate;
- Create and maintain systems to support timely responses for the Executive Director’s email account and prepare written responses to email upon request;
- Ensure Executive Director is prepared for all scheduled meetings, including confirming logistical details and preparing materials or agendas as needed;
- Coordinate all AWHWA travel arrangements, including flights, lodging, and ground transportation;
- Assist Executive Director with drafting, formatting, and proofing Excel spreadsheets, PowerPoint presentations, or other documents in preparation for business meetings;
- Support event planning for large meetings, including sending invitations to AWHWA partners, tracking responses, ordering food and supplies as needed, and preparing materials;
- Perform administrative functions that support the work of the AWHWA team, including but not limited to tracking receipts and submitting monthly expense reports; submitting monthly lobbying reports; creating and updating digital and physical filing systems to retain documents; copying, scanning, faxing, placing and screening phone calls and directing messages to other staff as necessary; placing orders for office supplies; taking meeting notes;
- Assist with special projects upon request of the Executive Director.
- Excellent interpersonal, organizational, and administrative skills;
- Strong written and verbal communication skills;
- Highly detail-oriented;
- Capacity to work independently, multi-task, and prioritize;
- Professional experience in a nonprofit environment, familiarity with youth and young adult homelessness a plus;
- Advanced computer literacy skills, including Microsoft Outlook, Excel, Word, and PowerPoint;
- Graphic design software familiarity a plus;
- Proven ability to handle sensitive and confidential information;
- Enjoys working in a dynamic, fast-paced environment as a part of a growing, high-performing team;
- Demonstrates professionalism, good humor, patience, and the ability to handle stress;
- Demonstrates commitment to supporting diversity and inclusion, both internally and across our efforts to serve all youth and young adults experiencing homelessness in Washington state.
- Little or no exertion, may require extended periods at a computer. May occasionally be required to lift and/or move up to 25 pounds.
Hours and Travel
Regular office hours of 9 a.m. to 5 p.m. PST, may include occasional evening or weekend hours for special events, as well as occasional overnight travel.
